Job Summary:

The Benefits Manager is responsible for directing and planning the day-to-day operations of group benefits programs (group health plans, dental, vision, short-term and long-term disability, worker’s compensation, life insurance, accident plan, health savings account plan, flexible spending account plans, retirement plans, Company wellness plans, etc.). Responsible for managing enrollments, annual renewals, and the delivery of benefits to employees. The Benefits Manager position requires excellent customer service and communication skills. Provides direct supervision of the benefits team.

Essential Functions:

  • Serves as primary contact for benefit plan vendors and third-party administrators.

  • Coordinate transfer of data to external and internal contacts for services, premiums and plan administration.

  • Evaluate and revise internal processes to increase efficiency.

  • Document and maintain administrative procedures for assigned benefits processes.

  • Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees.

  • Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, status changes, beneficiaries, disability, accident and death claims, and worker’s compensation claims.

  • Oversee maintenance of employee benefit files, maintain group benefits database, and updated employee payroll records.

  • Manage and track benefit adjustments for semi-monthly payroll processing.

  • Gather employee data and oversee the processing of monthly billing and the preparation of vouchers for payment of administrative fees for total company.

  • Provide customer service support to internal and external customers.

  • Develop communication tools to enhance understanding of the Company’s benefit package.

  • Design and distribute materials for benefits orientation, open enrollment, summary plan descriptions.

  • Provide training and support to all colleagues and the HR team.

  • Administer the company’s wellness program and initiatives.

  • Manage the leave of absence process for all colleagues and the collection of benefit premiums, including the Paid Maternity Leave program.

  • Work with retirement plan vendors on all required benefit filings, such as Form 5500, census production and other requirements under the IRS and ERISA.

  • Coordinate annual audits and compliance testing for retirement plans.

  • Manage and routinely update the employee self-service benefits module within the HRIS.

  • Lead the end-to-end design and configuration of the Workday Open Enrollment

  • Support Workday Releases through testing and implementation of new features.

  • Identify opportunities to improve business processes, including audit reports, and ensure the integrity of the Benefit data in Workday and other systems.

Qualifications:

  • Bachelor’s degree in human resource management or related field preferred.

  • 5+ years of related benefits experience.

  • 2+ years of Workday experience.

  • CEBS professional designation preferred.

  • Excellent verbal and written skills.

  • Excellent communication and organizational skills.

  • Strong Excel and PowerPoint skills.

Specific Skills/ Attributes:

  • Effective planning and priority setting.

  • Ability to manage several projects simultaneously while working under pressure to meet deadlines.

  • Strong analytical skills and a thorough knowledge of plan designs.

  • Knowledge of benefits contract language.

  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, worker’s compensation, and Medicare.
