Job Summary and Qualifications

POSITION SUMMARY:

Responsible for establishing the initial and on-going impression of the departmental functions to the patients, their families and/or caregivers, and all other customers. Responsible for the accurate and timely scheduling of patient appointments, the complete and accurate maintenance of medical records, and providing support to the clinical and administrative staff, telephone duties, patient registration, insurance verification, handling medical records, filing, cashiering, and computer work.

JOB SPECIFIC DUTIES:

1. Consistently maintains patient files, making new files as needed.

2. Consistently prepares various reports involving monthly reports, weekly reports, and general journal entry.

3. Checks appointment book, computer or chart for future appointments and reschedules or cancels as necessary.

4. Accurately processes daily patient charts.

5. Consistently maintains record keeping, and office organization for the center.

6. Informs new patients of arrival time, need to bring insurance cards, all medications, and photo identification.

7. Consistently ensures that the office equipment operate properly, follow through with equipment repair work order.

8. Consistently performs regular clerical duties such as filing, copying, typing, answer phone calls, getting and distributing mail, send fax information, reports, etc.

9. Consistently answers the telephone and directs inquires in a clear, concise, and pleasant manner using a moderate tone of voice.

10. Consistently screens all calls as appropriate for the center director and management staffas well as radiologists. Handles trouble shooting calls as appropriate.

11. Consistently greets people entering the office with a smile and making direct eye contact.

12. Consistently performs duties as assigned.

13. Reports to the director at the beginning and end of the shift.

CHECK-IN RESPONSIBILITIES

1. Entering patients in the computer, looking up patient medical record numbers and any previous exams.

2. Assist in checking out patients after exam.

3. Copies schedule for next day and pulls all charts on schedule.

4. Reviews all demographics with patient to ensure accuracy and completion.

5. Is familiar with and can explain each business office document to the patient and/or caregiver.

6. Interacts appropriately with patient and/or caregiver during patient registration.

7. Communicates effectively and courteously with patient at all times.

8. Copies all insurance cards and verifies current coverage.

9. Informs staff of private patient issues.

10. Assist technologist when needed in changing and getting patients ready for exam.

11. Preparing all paperwork for the patient charts including printing and putting together all forms.

12. Confirming all patients for the next day schedule.

13. Writing up paperwork and getting ready for the next day.

14. Processing doctor orders with patient charts.

15. Scheduling of patients when needed.

16. Performs other related functions as assigned.

17. Collects any patient responsibility for that day’s exam.

OTHER SPECIFIC DUTIES

1. Open and closing of Invision Imaging.

2. Greeting patients and visitors using eye contact.

3. Directs billing inquiries appropriately.

4. Completes Scheduled Patients charts daily.

5. Maintains supply of blank forms and new patient packets.

6. Answers phone is courteous, timely manner

MEDICAL OFFICE SPECIALIST SPECIFIC DUTIES

1. Accurately gathers confidential patient demographic and financial data and creates a patient account in a timely and efficient manner.

2. Admits patients in a timely manner, obtains all signatures, copies of insurance cards and obtains the necessary approval numbers from insurance companies to ensure payment of patient accounts.

3. Verifies insurance information by obtaining copies of insurance cards. Collecting copays from patients.

4. Assist patients in understanding their insurance policies, benefits and requirements of the plan. Enlists the assistance of a financial counselor or business office representative when necessary for verification, explanation and/or collection of funds.

5. Call scheduled patients if necessary and obtain all pertinent information for preregistration, verifying insurance and obtaining all necessary authorizations when necessary and possible. Leave clear instructions for next day on any and all missing information to be obtained by them.

6. Greet patients as well as answering the telephone in a polite, courteous and timely manner. Obtains patient signatures and insurance care copies, etc., at front desk, and completes all other tasks that facilitate the completion of registrar responsibilities.

7. Supplies requested patient information to Doctors’ offices, hospitals and insurance companies.
