What will you contribute?

The purpose of this role is to oversee and coordinate:

UK Facilities Operations – ensuring the business has the facilities, equipment and environment in which to operate safely. Monitoring and controlling risks associated with Health & Safety and Security. This responsibility may be extended to more than one location within Finastra. Support - To assist the Director of Real Estate with Facilities Projects as required meeting the needs of the business. This responsibility may be extended to more than one Finastra location.

Responsibilities & Deliverables:

This role will cover UK Operations and will include but is not restricted to:

Operational Facilities

Monitor active work requests on the Facilities service desk and any shared facilities mailboxes, including updating and cross referencing with the service desk system.

Budget: plan, manage and monitor, reconciling on a monthly, quarterly, bi-annual and annual basis aligned to Finastra Financial practices.

Complete daily building & remote facility checks to make sure that all office standards for building fabric and equipment are being met and maintained.

Liaise with internal stakeholders, contractors and external stakeholders to follow through on priority work and internal customer satisfaction matters.

Manage, review, clarify and understand policies and procedures established by Finastra, including but not limited to:- lease obligations & liabilities, vendor specifications, compliance and service quality.

Manage operational requirements for hard and soft services including but not limited to mechanical (HVAC) & electrical maintenance, Office AV, waste management, vending, access security, mailroom and archiving

Manage and coordinate best allocation and utilisation of space, re-organising of current premises; office re stacks, internal churn and desk set up for new and existing employees.

Oversee Global Facilities Audio Visual and digital content management solutions, liaising, coordinating requirements and facilitating training with Regional Facilities Managers.

Oversee facility location vendor procurement, contract review and service maintenance

Calculating and comparing costs for maintenance quotes, goods or services to achieve maximum value for money;

Co-ordinating and checking that agreed work by contractors has been completed satisfactorily and following up on any deficiencies; using performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement;

Assist with Front of House support to include but not limited to:- visitor management, operational room set up and AV set up and meeting support, catering, security and cleaning.

Coordinate emergency repairs with external vendors ensuring that purchasing, work orders and associated procurement is undertaken in line with procurement policy. .

Ad-hoc duties and Projects detailed by the Regional Facilities Manager, to meet the needs of the business.

Facilities Administration

Maintain hard copy and online facilities information management systems.

Update and maintain Facilities policies and procedures.

Process purchase orders, invoices, and receipt goods and services: provide monthly reports as required.

Administer and maintain the approved vendor register.

Health and Safety

Understand and implement policy and procedures established by Finastra including knowledge of operational health and safety, including but not limited to premises & fire safety and ergonomics compliance.

Assist with the responsibility for new joiner and leaving process which include H&S induction and Office Ergonomics.

Help prepare site regulations and issue permits to work for all contractor activities on site.

Assist in the maintenance, testing and implementation of disaster planning procedures and organise and co-ordinate fire evacuation and bomb drills.

Assist with ensuring that Office/s meets with in country health and safety requirements and that the facility complies with legislation.

Required Experience:

Qualifications & certification

  • Educated to a Diploma and or Health and Safety qualification level or equivalent.

  • Knowledge of Facilities Management, both Hard and Soft Services.

  • Experience working on projects within a corporate office environment.
