The Workplace Events Coordinator role is at the forefront of delivering a positive office experience as a cultural ambassador, community advocate and service leader on this client account.

Key Responsibilities include:

  • Providing coordination and support for delivery of Workplace events.

  • Supporting the team in provision of best-in-class service to the client employees and visitors. Our services include but are not limited to: Event, meeting and calendar management and administration, Culture, Diversity and Inclusion Programs, A/V Support, meeting equipment supply and catering.

  • Maintains awareness of the workspace and develops solutions in consultation with the FM team to improve workplace experience.

  • Curates and administers of the Host platform and client materials customized to meet to the full Host experience. Ensures client and company materials comply with client and company brand guidelines.

  • Utilizes and maintains integrity of databases, supports data entry of required reports and other digital tools associated with service delivery, as requested.

  • Follows security and emergency procedures as defined for the property. Responds to emergency situations in a calm, efficient manner. Summons appropriate assistance and makes appropriate notifications in accordance with operating procedures.

  • Provides support for Workplace Experience team as directed, including expense management, meeting coordination, equipment care, and supply management. Ensures all billings for Event services are invoiced and billed as required.

  • Collaborates with vendors’ employees who provide services and goods.

  • Available for occasional early morning or evening work required as per the Event schedule.

  • Available for occasional travel required for offsite site visits and events.

The Ideal Candidate

  • A minimum of 3 years demonstrated experience within the industry in a similar position

  • Strong food and beverage knowledge; level of experience in the field desired.

  • Strong verbal/written communication skills and excellent personal management level presentation.

  • Experience in a Corporate/Social & Hotel executive functions environment in Events Management.

  • Experience with developing & maintaining senior client and vendor relationships.

  • Understanding of Audio Visual, IT capabilities and catering requirements.

  • Managing and mentoring team members as required.

  • Administrative Skills – Word, PowerPoint, Excel, Zoom, and Outlook are desirable.
