The HIM Specialist is responsible for various health information management duties and tasks on a rotational basis, answering phones, scanning, faxing, tasking physicians, indexing documents into the patient's electronic medical records, processes request for medical records, processing mail and several other clerical duties for the department.

This position is full-time, Monday - Friday. Employees are required to work our normal business hours of 8:00 AM - 4:00 PM. It may be necessary, given the business need, to work occasional overtime or weekends. Our office is located at 109 Rykowski Lane, Middletown, NY.

We offer weeks of paid on-the-job training. The hours during training will be 8:00 AM - 4:00 PM from Monday - Friday.

Primary Responsibilities:

  • Prep and scans using fast scanner as well as desk top scanners.

  • Verifies patients using specified identifiers such as DOB, patient name, SS, patient address, and / or patient phone number before scanning individual papers and indexing documents into the right patient charts.

  • Learn the many types of documents and their placement within the chart.

  • Learn multiple computer software applications.

  • Receives and distributes incoming mail, processes outgoing mail, certified, and / or express mail.

  • Adheres to turn around time for scanning (24 - 48 business hours) for non - priorities; Priorities are handled immediately.

  • Tasks documents to physicians as appropriate and forwards records if requested.

  • Picks up documents to be faxed from front desks in the legacy buildings.

  • Receives requests for medical records via phone, fax, e - mail, walk - ins, and mail and processes according to organization policy, State and Federal Regulations.

  • Reviews task basket for requests daily, prioritizes requests for processing and marks the template appropriately for the status of the request.

  • Enters new requests in record release template on a rotation basis.

  • Notifies physicians for finalizing notes.

  • Answers the phone in a professional, kind, and courteous manner; offers help or transfers calls appropriately.

  • Understands the difference between a Power of Attorney, a Health Care Proxy form, and Living Will in NY State.

  • Understands Right to Access, Information Blocking, HIPAA compliant authorizations.

Required Qualifications:

  • 1+ years of customer service experience with analyzing and solving customer problems

  • 1+ years of experience with Electronic Health Record

  • Experience with utilizing Microsoft Word and Microsoft Excel (ability to create, edit, save, and send documents)

  • Ability to type and talk at the same time and navigate through multiple screens

  • Ability to work any shift between the hours of 8:00 AM - 4:00 PM from Monday - Friday including the flexibility to work occasional overtime based on business need

  • Must be 18 years of age OR older

Preferred Qualifications:

  • Experience in working within the health care Industry and with health care insurance

  • A clerical OR administrative support background

  • Knowledge of ICD - 9 and CPT codes

  • Experience in working with Medicare and / OR Medicaid Services

  • Call center experience

  • Experience with working in a metric - driven work environment

Physical and Work Environment:

  • Ability to lift, pull, or push up to 15 lbs.

  • Moves intermittently during the working hours

New York Residents Only: The hourly range for New York residents is $18 per hour. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
