What will you contribute?

As a key member of the Technology Enabled Management Services team, the Executive Assistant will provide direct support to the SVP, TEMS and by extension their leadership team, managing scheduling, communications and planning for a fast paced business team.

Responsibilities & Deliverables:

Your deliverables as an Executive Assistant will include, but not limited to, the following:

  • Provide outstanding executive support to the SVP, TEMS as required including correspondence, scheduling, reports, meetings, town halls, etc.

  • Be action oriented and resourceful - take on new opportunities & challenges with a sense of urgency, high energy, & enthusiasm completing projects and special assignments with prioritization, time management, and problem-solving

  • Develop solid understanding of strategic initiatives to shift priorities as required and identify potential scheduling problems while coordinating across multiple sites, time zones and leadership levels

  • Manage travel, calendar and expenses for executive leadership team (SVP and VP level)

  • Foster collaboration and build strong partnerships with others to meet shared objectives

  • Plan, organize and follow-up on all details relative to meetings, receptions and conferences

  • Proficient and comfortable in Word, Excel and PowerPoint to support the presentation needs of executives, both development and analytic, and maintain related files

Required Experience:

  • 5-8 years of experience as an Executive Assistant, supporting executive level leaders

  • Strong organization and administrative skills; capable of operating independently with minimal direction while keeping the Executive informed of potential problems and sensitive issues

  • Good working knowledge of the organization's external business relationships and their executive personnel

  • Excellent English verbal and written communications and interpersonal skills to interact with a wide range of individuals in a wide range of internal and external clients and vendor, which usually requires tact, diplomacy, and discretion

  • Support process improvement and cultivate innovation

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Visio)

  • Ability to make decisions using independent judgment, discretion and diplomacy

  • Ability to adapt to changing priorities in a calm and professional manner

  • Ability to work with confidential information

  • Self-Confidence, relationship builder

  • Pragmatic, hands-on action-orientated – a ‘doer’
