Leaves Experience Partner (Nashville, TN)

The Leaves Experience Partner in the Philips People Services (PPS) Organization is a deep subject matter expert with demonstrated expertise in statutory disability plans, short- and long-term disability, military leaves, and/or Federal/State leaves of absence (FMLA). They are highly skilled in sensitive case management oversight, answering complex questions, understanding the employee's situation, applying the appropriate benefits, responding to changing circumstances and needs, and paving the way for a connected and trusted case management experience. They actively support and promote an environment of collaboration and consultation between employees and the PPS organization. The position collaborates with key business stakeholders, Payroll, and Rewards team members to ensure specialized leave policy programs are successful across the organization.

Your role:

  • Address and respond to sensitive, confidential and/or escalated situations (e.g. legal requests, executive escalations, business continuity responses).

  • Serve as a Subject Matter Expert for specialized leave and disability cases offering real-time support to employees.

  • Provides training and education in these areas as needed.

  • Lead group and one-to-one consultation sessions about leave and disability events, benefits, and options available to employees.

  • Critically assess and adjust case management plans to an employee's changing needs.

  • Conduct individual, site or regional leave/accommodation/disability deep dives and analysis.

  • Collaborate with Rewards team members on complex cases and/or policy development with leave and disability.

  • Act as an internal point of contact for escalated, time-sensitive matters.

  • Identify and solve problems, sometimes with limited information.

  • Identify process and/or performance deficiencies and implement improvement plan.

  • Develop and maintain effective relationships with internal and external stakeholders.

  • Build trust and confidence in the PPS team through proactive stakeholder interactions.

  • Develops and facilitates employee communications for employees on leave to ensure timely and accurate benefit payment reconciliation.

  • Participate in employee leave experience analysis in order to continuously executive process design changes enhancing the employee experience.

  • Acts as a regular back-up to the Payroll Leaves Specialist as needed (monitoring claim status updates for employees on short-term disability/FMLA and analyzes the impact of these changes on employee's pay, works closely with Rewards and the third-party disability administrator to resolve issues related to employee's disability pay, processes terminations for employees transitioning from short-term to long-term disability).

  • Ensure adherence to the short-term disability and FMLA policies and explain policy details to employees.

  • Liaise with vendor and Philips IT to resolve interface issues.

  • Function as Subject Matter Expert with regard to all aspects of the disability.

  • Leverages ServiceNow support to handle employee inquiries regarding disability inquiries and/or escalations.

  • Regular interaction with employees, business leaders, clients, and HR Managers/Business Partners is expected.

  • Ensures that benefit programs are carried out in accordance with the company's policies and procedures.

  • Aids employees and supervisors in completing required leave of absence paperwork and reviews documents for accuracy and compliance.

  • Supports human resource and management teams by providing reports related to employees' leave of absence and administrative tasks.

You're the right fit if:

  • Bachelor's degree or equivalent professional experience.

  • 5+ years of experience using case management systems and employee Leave and Disability support.

  • Knowledge of federal or state Leave and Disability regulations, including FMLA.

  • Knowledge in MS Word, Excel, Teams, Outlook and PowerPoint.

  • 5+ years of experience responding to escalated leave/disability matters.

PREFERRED QUALIFICATIONS

  • Experience leading projects focused on process improvement, design, and service integration.

  • Experience providing guidance to employees, managers and HR partners regarding leave of absence, disability plan, human resources, benefits, or employee matters.

  • SPHR, PHR, CLMS and/or CPDM.

  • Demonstrated problem solving, time management and priority setting skills.

  • Demonstrated customer service and communication skills, both verbal and in writing.

  • Experience with processing mapping tools and/or continuous improvement certification.
