Job Description

General Scope of Duties

Reporting to the Director of Development, the Associate Director of Research and Prospect Management is responsible for managing all aspects of the Research and Prospect Management Team. The Research and Prospect Management team is a strategic arm of Advancement’s fundraising operation, focusing on pools and pipelines. There are three key areas of responsibility for the team: (1) prospect identification and research – discovering and evaluating prospective donors, their interests, relationships, inclination to give, and philanthropic capacity; (2) relationship management – managing, tracking, and reporting on prospect activity; and (3) data analytics – supporting an information-driven decision culture by deriving conclusions and identifying trends in the statistical analysis of data. The team also works closely with senior leadership and front-line fundraisers to identify candidates for Board leadership.

General Duties and Responsibilities

  • Supervise hiring and training of departmental staff

  • Supervise and conduct research on higher level prospects; manage, assess, and adjust the ratings of existing prospects to support fundraising efforts

  • Oversee management of the President’s and Vice President’s prospects, in coordination with the Director of Development and the Vice President for Advancement

  • Work collaboratively with the Vice President for Advancement and the Director of Development to develop and maintain a pipeline of candidates for the Board of Trustees.

  • Develop and maintain reports and tools used to ensure that these “highest priority” prospects are moving through the donor engagement process in a timely and appropriate fashion

  • Regularly meet with gift officers to gather prospect pipeline updates, discuss their prospect pools, and offer suggestions for helping to move their top prospects through the donor engagement process

  • Regularly analyze the leadership gift prospect pool and share data on fundraising progress, trends and activity across groups of constituents. Provide regular reports (including, but not limited to, semi-annual prospect pool summaries, cultivation trends, needs analysis, pipeline reports and other forecasts) and work closely with the Director of Development and department Directors to assess information that can inform decision-making

  • Participate in the development and implementation of strategic metrics including progress-on-goal fundraiser and campaign reports

  • Audit current prospect management systems and provide effective solutions to improve processes

  • Regularly evaluate departmental resources and procedures for effectiveness and efficiency

  • Under the guidance of the Director of Development, manage budget and operations for the Research and Prospect Management department

    Education and Skills

  • Bachelor’s degree with a minimum of 3 years of experience in prospect research and management and proven track record of increasing responsibilities

  • Strong oral and written communication skills

  • Superior attention to detail and analytical ability to extract strategic information

  • Strong interpersonal skills

  • High integrity needed to handle confidential information

  • Ability to work well under deadlines and juggle multiple projects

  • Excellent attention to detail and strong computer skills

  • Ability to motivate colleagues to work with all staff within College Advancement and other departments campus wide

  • Ability to build and sustain key relationships with donors, faculty and staff

  • Excellent organization skills and ability to set priorities and meet deadlines

  • Travel for professional development required
