    Your Specific Responsibilities:

    We are seeking an experienced and highly motivated individual to supervise our team of contract and grant coordinators. This key position is responsible for providing direct oversight to FloridaCommerce’s contract and grants administration function, including, but not limited to, contract and grants lifecycle management, community projects, compliance, stakeholder engagement, and training. In this leadership position, you'll be responsible for ensuring the efficient and compliant review and management of all grant and contract processes, from initial review to final execution. The role is also responsible for ensuring the innovative, timely, and effective provision of services provided by the team to internal and external stakeholders. Example responsibilities include:

    Supervisory employees are those who spend the majority of their time communicating with, motivating, training, and evaluating employees, and planning and directing employees’ work, and who have the authority to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, or discipline subordinate employees or effectively recommend such action, including all employees serving as supervisors, administrators, and directors, in accordance with Section 110.205(2)(W), Florida Statutes.

    Supervise, conduct appraisals, plan and direct work, review and approve leave requests, and handle the hiring and disciplinary actions of staff, as needed, and in compliance with applicable laws, rules, policies, and procedures.

    • Direct and lead a team of contract and grant coordinators, providing ongoing coaching, guidance, and performance management.

    • Oversee the contract and grants administration lifecycle. This includes, but is not limited to, process implementation and improvements, providing guidance to internal customers in template development, scope development, invoicing, and reporting.

    • Serve as a primary point of contact for internal and external stakeholders, collaborating closely throughout the agreement lifecycle and, if applicable, project. Understand and evaluate stakeholder needs and coordinate milestones and updates.

    • Act as the conduit to describe, interpret, position, and make recommendations to resolve business issues.

    • Ensure efficient contract and grant execution in alignment with agency needs and expectations.

    • Guide the team in reviewing grants and contracts with a focus on scopes of work.

    • Implement and maintain systems for tracking work assignments and deadlines.

    • Prioritize assignments and workflows to maximize efficiency and meet project or program timelines. This includes, but is not limited to, following up to ensure continuous progress and adhering to identified timelines.

    • Maintain clear and consistent communication with internal staff, program leaders, and other stakeholders, both verbally and in writing.

    • Identify and implement process improvements to enhance the effectiveness of grant and/or contract administration processes.

    • Stay up to date on relevant regulations and agency needs.

    • Develop performance expectations in conjunction with the Deputy Bureau Chief of General Services.

    • Review and resolve escalated issues and concerns with a sense of urgency. Escalates issues to more senior management as needed.

    • Draft, review, edit, and administer contracts and grants agreements.

    • Provide effective feedback on improving unit performance. Evaluate employees in accordance with Department standards and procedures.

    • Provide technical assistance and helps the section’s Training Coordinator develop contract related training materials, coordinates program related trainings and develops and implements a training plan to ensure internal staff can effectively execute their roles reviewing and managing contracts and grants.

    • Maintain compliance with all applicable federal, state, and local grant regulations and agency policies.

    • Coordinate projects and agreements when assigned or necessary to meet team goals and agency expectations.

    • Perform other duties as assigned.

      Required Knowledge, Skills, and Abilities:

    Strong knowledge of federal, state, and local regulations and the ability to learn agency policies.

    Solid understanding of grant writing.

    Excellent communication and interpersonal skills, with the ability to effectively communicate both verbally and in writing.

    Strong analytical and problem-solving skills.

    Proficiency in Microsoft Office Suite.

    Knowledge of contract and grant process and management software.

    Preferred :

    • Minimum of two years of supervisory experience to include motivating, mentoring, developing, and directing team members, or two years of experience serving in a leadership role in contract management, contract administration, procurement, or contract monitoring.

    • Minimum of five years of experience in government contract management, execution, preparation, and monitoring.

    • Minimum of five years of experience in scope development and/or grant management.

    • Florida Certified Contract Manager Certification.

      Pay : $ 62,000.00 - $71,000.00
